This article provides a step-by-step guide to manually adjust Shopify order fulfillment and tracking links. This is particularly useful if you've canceled and reordered manually through the Gelato Dashboard, as it ensures Shopify reflects these changes.
Understanding Manual Order Fulfillment
When you place a manual order, Shopify doesn't automatically connect it to the original order. This means shipping and tracking information won’t be sent to your customer. To fix this, you need to manually update the order status and input the tracking details from your manual order once it ships.
Changing Shopify Order Status
Follow these steps to change your Shopify order status and add tracking information:
Step 1: Address Existing Fulfillment
You'll need to start by canceling or reverting any existing fulfillment requests or acceptances:
a) Cancel a Fulfillment Request
If the fulfillment is still in the request stage, simply click the "Cancel request" button.
b) Revert an Accepted Fulfillment
If Gelato has already accepted the fulfillment, you'll need to request a cancellation first. Here's how:
Click on the "Request cancellation" button.
Once the cancellation request is sent, select "Revert to unfulfilled".
Confirm by clicking "Revert to unfulfilled" again.
Step 2: Check for Change Location Option
After completing Step 1, you should see an option to change the fulfillment location. It will look like this:
If you see this option, proceed to Step 4. If not, continue to Step 3.
Step 3 (Optional): Enable Change Location Option
If you don't see the option to change the fulfillment location, you need to enable it.
Go to the "Products" tab in your order, or use the item link on the Order page.
On each item's settings page, click "Edit locations".
Step 4: Change Fulfillment Location
Click the "Change fulfillment location" option you enabled in Step 2 (or that was already visible).
In the popup window, select your location.
Click "Save".
Step 5: Fulfill the Order
You can now manually fulfill the order:
Click the "Fulfill items" button.
In the popup, enter the tracking information and select the shipping provider.
Click "Fulfill Item" in the Summary.
The order status will change to "Fulfilled" and an "Archived" tag will appear. If you select "Send shipment details to your customer now," Shopify will automatically email the tracking information to your customer.
