How can I import orders from WooCommerce?

This article explains how to seamlessly manage your WooCommerce orders within Gelato. Learn how to import orders, connect products for fulfillment, and optimize your workflow for efficiency.


Importing Your WooCommerce Orders

Effortlessly transition your WooCommerce orders and products to Gelato using the powerful Import Order feature. Once activated, new orders from your store will appear in your Gelato order section as Not connected, giving you full control over fulfillment.

We highly recommend enabling Import Orders. You'll efficiently connect your best-selling products by reviewing and managing your Not Connected orders daily.


Activating the Import Orders Feature

To activate the Import Order feature, follow these simple steps:

  1. Go to Stores > Select a store > Settings.

  2. Check the box for Import not connected orders.

  3. Click Save Changes.

Once activated, all new orders from your WooCommerce store will be visible in your Gelato order list. You'll also receive email notifications for orders requiring action.

Managing Your Not Connected Orders

To manage your Not Connected orders in Gelato:

  1. Go to the orders section and click on the Not Connected order.

  2. Click on the Complete order button at the top of the page to proceed.

  3. For each Not Connected item in the order, you can:

    • Connect: Fulfill the item through Gelato.

    • Ignore: Choose not to fulfill the item through Gelato.

Connecting a Product

Click the blue Connect button to fulfill a Not Connected item using Gelato. You can:

  • Connect the item to an existing product in your ecommerce or custom store.

  • Create a new product with your design from our catalog.

Connecting a product ensures that both the current and all future orders with the same product variant are fulfilled consistently.

Ignoring a Product

Choose Ignore If you don't want to fulfill a Not Connected item with Gelato. You have three options:

  1. Ignore this item for this order.

    This option provides flexibility for orders you might fulfill elsewhere, such as local orders or those requiring a different fulfillment method. Future orders containing this item will appear as Not Connected, requiring your action each time.

  2. Ignore this variant for all incoming orders.

    This option is useful when you fulfill specific product variants using different methods. For example, you might fulfill clothing sizes XS-3XL with Gelato and larger sizes with another supplier. Future orders containing only this specific product variant will not be imported into Gelato.

  3. Ignore this product for all incoming orders in all variants.

    This option is ideal for products you never fulfill through Gelato. Future orders containing this product, regardless of the variant, will not be imported. For example, you may choose to ignore a product category like "cars" if you don't offer them.
