Learn how to transfer Shopify orders to Gelato seamlessly with automatic and manual import options

This article explains how to seamlessly transfer customer orders from your Shopify store to Gelato, ensuring a smooth order fulfillment process. We'll cover automatic order importing and the manual "Import order" feature for existing products.


Automatic Order Import

Once you connect your Shopify store with Gelato, orders for Gelato-connected items are automatically imported to Gelato after being marked as "Paid" in your Shopify store. Manual import for these orders is not necessary.


Importing Orders Manually

The "Import order" feature is beneficial if you want to transition future orders for products not initially connected to Gelato. This functionality imports orders from your Shopify store to Gelato as draft orders. You can then choose to connect or ignore each item within the order.

We highly recommend utilizing the "Import orders" feature, regardless of your order volume. It streamlines the process of connecting your best-selling products to Gelato, saving you time and effort in the long run.


How to Activate Order Import

Follow these steps to activate the Import order feature:

  1. Go to "Stores."

  2. Select your Shopify store.

  3. Navigate to "Settings."

  4. Check the box for "Import not connected orders."

Once activated, all new orders from your Shopify store will appear in your Gelato order list. You'll also receive email notifications for orders requiring action due to unconnected items.


Managing "Not Connected" Orders

To take action on a "Not connected" order:

  1. Go to the specific order.

  2. For each unconnected item, choose either "Connect" or "Ignore."

Connecting an Item

Selecting "Connect" initiates the process of connecting the product to Gelato fulfillment for the current and all future orders containing the same item.

Ignoring an Item

Selecting "Ignore" presents three options:

  1. Ignore this item for this order: Future orders with this item will generate a new "Not connected" order, prompting you to connect or ignore it again.

  2. Ignore this variant for all incoming orders: Future orders with this specific variant won't create a "Not connected" order, assuming no other unconnected items are present.

  3. Ignore this product for all incoming orders in all variants: Future orders containing any variant of this product won't trigger a "Not connected" order.


Understanding Automatic Order Processing

Once an order item is connected, all future orders containing the same product will be automatically processed based on your store settings. This automation simplifies order fulfillment and saves you time.
