How do I control stock availability in my WooCommerce store?

This article explains how to automatically update your product availability in your WooCommerce store based on real-time inventory data.


Managing WooCommerce Stock Availability

By activating the "Update stock availability automatically" feature, you can ensure that your WooCommerce store always reflects the most up-to-date product availability from our print partners. This means that if a product becomes discontinued or temporarily out of stock, it will automatically be marked as unavailable in your store, preventing customers from purchasing it.

Currently, this feature is available for the following product categories:

  • Hangers

  • Framed posters

  • Drinkware

Enabling Automatic Stock Updates

To enable this feature, follow these simple steps:

  1. Go to Stores and locate the store for which you want to enable the feature.

  2. Click on the three-dots menu to the right of the store name and select "Edit store details."

  3. Check the box labeled "Update stock availability automatically."

  4. A drop down menu labeled "Selling region" will appear. Select your primary selling region from the menu.

  5. Save your changes.

Once enabled, the feature will immediately synchronize the stock availability for all connected products.

Please note: You can currently only select one selling region. The product availability in that region will determine whether a product is shown as in or out of stock in your WooCommerce store, even if the product is available in other Gelato regions. Global selling requires selecting one primary region for stock availability purposes.

How Stock Synchronization Works

After enabling this feature and selecting your selling region, Gelato will automatically update your WooCommerce store's stock availability every 2 hours.

Here's how it works:

  • For any product variant marked as out of stock in your selected selling region, Gelato will set the available quantity to 0 in your store, effectively marking it as "sold out" at checkout.

  • Once the product is back in stock, Gelato will update the available quantity to 999.

  • When you add new products to your store, any variants that are temporarily out of stock will be marked accordingly.

You will receive email notifications whenever items in your store are marked as out of stock or back in stock during the synchronization process.
